Customize Default Proposal and Invoice email templates

Overview

ArcSite allows you to edit the default email templates used when sending proposals and invoices to your clients. Customizing these templates lets you maintain a consistent, professional tone and automatically include key job details using Insert Variables.

This feature is part of the ArcSite User Site settings and is essential for all users who send proposals and invoices via the platform.

Availability

  • Supported Platforms: Web (ArcSite User Site).

  • Subscription Requirement: Available on all subscription plans that include Proposal and Invoice creation.

Workflow Guide: Editing an Email Template

Goal: To customize the email body for your proposal or invoice correspondence.

Steps:

  1. Navigate to Email Templates:

    • On the ArcSite User Site, navigate to Settings.

    • In the sidebar, under the Takeoff & Estimate section, select Templates.

    • Click on Email Templates.

  2. Select a Template to Edit:

    • Choose either Proposal Email Template or Invoice Email Template.

  3. Enter Edit Mode:

    • Click the Edit button in the top right corner of the selected template's window.

  4. Edit the Email Body:

    • Modify the text in the Email Body field to change the message your client receives.

  5. Insert Variables (Optional):

    • Click Insert Variables to view a dropdown list of available dynamic fields.

    • Select a variable (e.g., Client Name, Project Name, Company Name) to insert it into the email body. These variables will automatically populate with the relevant job data when the email is sent.

  6. Save Your Changes:

    • Click the Save button at the bottom of the edit window.

    • A confirmation message will appear: "Template saved successfully".

How to Use the Custom Email

The custom email template is automatically used when you send a proposal or invoice from the platform.

  1. Access a Proposal or Invoice:

    • Navigate to the Proposals tab and click on the name of a specific proposal.

  2. Send the Proposal:

    • Click Contact Client.

    • Select Send Again (or Send for the first time) from the dropdown menu.

  3. Review and Send:

    • The customized email body, including the inserted variables, will appear in the Send Proposal dialog box, ready for final review and sending.
