How to Create a Proposal Template

How to create an output template (format for your proposal, inspection report, crew sheet, etc.) and put it to live use

What we call proposal templates in ArcSite can actually be used for several different purposes--think of them more broadly as "output templates." You can create templates for:

  • estimates/customer proposals

  • crew sheets

  • material takeoffs

  • inspection reports

  • and more...

How to Create a New Template

Navigate in the user site to Settings > Takeoff & Estimate > Proposal Templates. Any existing templates will be visible on this page, and you can create a new template for your proposal/inspection report/crew sheet, etc. by clicking "Create Template."

Next, pick a template to start. We have several pre-built formats you can pick from, including several industry-specific options. You can also select "Blank Template" to start with a blank page you can customize to your liking with appropriate sections.

Once you've created the template, you'll land on the template editor.

  • On the left hand side of the template, you'll see a Table of Contents list showing each block within your template. You can add blocks and sections breaks here, as well as click and drag the block labels in that lefthand column to reorder their appearance on your documents.

  • The right hand side of the page will show you additional details regarding what information is captured in each block. Above most blocks, you can click "Edit" or "Layout" to further configure settings for how that block displays information.

Once you've assembled the blocks on your template, you can check how your outputs will show up with real project data. Click on "Preview PDF" at the top right of the template editor, and then select a desired project/drawing under "Choose Project to Preview." In the preview window, you can see a full rundown of what your output document would look like with this template published and put into use.

Once you're done, hit "Publish to APP." This will make this template available for your team to use in the field.

When you publish, you'll notice the system warns you that once published, a template cannot be changed--which is true. However, if you need to edit a previously published template, you can always find the published template on the web and click "Duplicate" under the Actions menu.

That way, you can edit the duplicate and publish it once you've made any required changes. Then you can go back and delete the old version so it's not cluttering up your template list.
